How to Keep Bulk Sportswear Consistent With the Approved Sample

Define Which Sample Is the Standard

Brands may approve fit, color and logo on different prototypes. Before bulk production, identify one sealed sample or an approved specification set that combines the final decisions. Mark its date and version so an earlier sample cannot be used by mistake.

Photographs are useful records but do not replace physical handfeel, stretch or construction references. Keep both visual evidence and measured specifications.

Lock Material Identity

Record supplier fabric code, composition, GSM, width, stretch, recovery, finish and approved color. Similar-looking substitutes can change fit, opacity and drying performance even when the fiber label is the same.

Keep approved lab dips, print strike-offs, trims and packaging samples. State whether any substitution requires written buyer approval.

Transfer Fit Into Measurable Tolerances

Convert fit comments into finished garment measurements, pattern revisions and construction notes. Define points of measure and allowable tolerances so the factory and inspector use the same method.

Review a size set when grading is important. One correct base size does not guarantee consistent proportions across the full range.

Approve Preproduction Output

Use a preproduction sample or pilot quantity to confirm the actual bulk materials, logo process, labels and workmanship. Compare it against the sealed standard before the main run proceeds.

If a change is necessary, issue a written change record showing the affected style, color, sizes and approval. Do not rely on a message that says use the new fabric without updating the specification.

Inspect the Risks That Matter

Build inspection checks around the product claim: measurements, shade, opacity, logo adhesion, seam stretch, pocket function, appearance and packing. Retain samples from bulk for future reorder comparison.
