Explain the Product Clearly

A useful quotation starts with a defined product. Send a tech pack, physical sample, technical drawing or clear reference images. Identify the category, intended use and which details must be customized. If information is missing, ask the supplier to list the assumptions behind the price.

Separate each style in the request. A legging, sports bra and jacket have different material consumption, construction and trim requirements even when they belong to one collection.

State Quantity by Style Color and Size

Provide the total quantity and its breakdown by style, color and size. Minimum quantities may apply at more than one level, especially when custom dyeing, prints or trims are involved. Ask whether sizes can be mixed within the quoted quantity.

If the launch quantity is uncertain, request clearly separated price levels. Do not ask for one price covering a very wide range because the production assumptions may change with volume.

Describe Materials and Construction

List the preferred composition, fabric weight, handfeel, performance and color route. If the supplier should recommend a fabric, provide the target product use and price position. Include lining, elastic, cups, zippers, pockets, mesh and special seam requirements.

Confirm whether the quotation uses stock material or custom production. A similar-looking substitute may change fit, durability and cost, so the quoted reference must remain visible through sampling.

Include Branding Packaging and Testing

Send logo dimensions, colors, application method and placement. Specify main labels, care labels, size marks, hangtags, barcodes, individual bags and carton requirements. Ask whether sampling, artwork setup, molds or printing screens are charged separately.

Identify required inspections, test reports or compliance documentation. These costs and lead times should be discussed before the order rather than added after product approval.

Compare the Complete Commercial Scope

Check currency, trade terms, payment schedule, sample cost, production lead time, packing, freight responsibility and quotation validity. The lowest unit price may exclude work included in another supplier's offer.
