How to Prevent Custom Team Jersey Delays Before Production Starts

Set One Final Approval Owner

Team orders often involve coaches, managers, sponsors and players. If several people can change the design, production may pause after every revision. Name one person who can approve artwork, colors, sizes and delivery information.

Use a dated approval checklist. Verbal comments in separate chat threads should be consolidated into one marked file before the supplier updates the sample or print layout.

Collect Sizes With a Deadline

Provide a size chart and sample garments when possible, then collect player name, number, size and quantity in one spreadsheet. Late additions can force a new print layout or separate production batch.

Lock a roster cutoff and define how replacements will be handled. Add a small number of blank or common-size units only if the team has a realistic use for them.

Prepare Print-Ready Artwork

Submit vector logos, sponsor marks, player fonts and color references. Low-resolution screenshots create rework and can produce inconsistent edges or colors. Confirm whether artwork may cross seams or panel joins.

Approve the front, back and both sides of the jersey, including scale and distance from fixed seams. The manufacturer should not infer missing sponsor positions.

Separate Production Time From Delivery Time

A fast sewing promise does not include design revisions, sample approval, roster collection, inspection, customs or last-mile delivery. Build the calendar backward from the first match and include decision deadlines.

Ask what happens if a size or name changes after the cutoff. A clear late-change policy prevents the entire order from being held for one player.

Use a Final Order Confirmation

Before bulk starts, sign off the artwork sheet, size roster, fabric, collar, sleeve, quantity, packing and destination. Store the approved files under one order reference for repeat seasons.
